Proposal & Project Coordinator

Cal Electro, Inc. is seeking a detailed-oriented Proposal & Project Coordinator to support our Project Management and Estimating teams. This role plays a key part in coordinating construction proposals and active projects by preparing documentation, tracking schedules, facilitating communication, and ensuring deadlines are met.

Key Responsibilities
​Project Coordination
  • Assist Project Managers with the organization and execution of ongoing construction projects
  • Develop and manage project documentation, including submittals, RFIs, purchase orders, and project databases
  • Organize, attend, and participate in stakeholder and internal project meetings
  • Take meeting minutes and track action items to completion
  • Gather quotations and coordinate material procurements and deliveries with vendors
  • Provide general administrative and coordination support as needed
Proposal Coordination
  • Prepare and submit construction proposals, bid documents, and work orders
  • Gather vendor and subcontractor quotes and support cost estimate development
  • Track addenda and changes throughout the proposal and bid process
  • Develop accurate, complete, and well-organized proposal documentation
  • Maintain proposal results databases and spreadsheets

Qualifications & Requirements
  • Minimum 2 years of experience in a related role (construction, project coordination, estimating, etc.)
  • Bachelor’s degree in business, construction management, or related field preferred
  • CAPM or other project management certification a plus
  • Strong verbal and written communication skills
  • Ability to work independently and collaboratively in a team environment
  • Strong attention to detail, organization, and time-management skills
  • Ability to manage multiple priorities and work effectively under tight deadlines

Technical Skills
  • Proficiency with Microsoft Office, including Word and Excel
  • Experience with project management or construction management software such as Bluebeam and Microsoft Project a plus
  • Familiarity with construction plans and specifications preferred
  • Knowledge of file management systems and administrative procedures

Foreman

We are looking for a knowledgeable, experienced construction foreman to coordinate operations and oversee workers at our numerous construction sites. As the liaison between workers and supervisors, the foreman will be the key person in charge of overseeing the completion of the project with a keen awareness of material expenses, permits, and employee safety. The ideal applicant will have a solid background in the field, strong leadership skills and the ability to direct the work of others and make quick decisions. The construction foreman must be well-organized and strongly focused on safety above all and at all times.

Foreman Duties and Responsibilities:
​
  • Oversee and ensure that all safety rules are being followed at all sites at all times
  • Produce work schedules in accordance with the availability of employees, contractors and labor laws and monitor the attendance of crew
  • Coordinate daily tasks according to priorities and plans, adjusting as necessary due to weather, supply delivery, and personnel
  • Ability to delegate responsibilities and individual projects to the crew and contractors.
  • Recruit, hire, mentor, manage and train employees and contractors
  • Provide for adequate resources and staffing to meet safety needs, regulations, best practices, laws and project schedule
  • Emphasis on the safe use of tools, machinery, and equipment including training on safety gear, helmets, and procedures
  • Develop and oversee quality standards on all sites
  • Monitor and manage project budgets on all sites
  • Resolve conflicts or miscommunication that may happen on-site quickly and amicably
  • Report project status to supervisors, site engineers and officials regularly

Foreman Requirements and Qualifications:
​
  • High school diploma or certification in a skilled trade (electrician, carpenter)
  • 4+ years’ experience as a construction foreman
  • Extensive knowledge of construction best practices, equipment maintenance, and use, and OSH guidelines
  • Understanding of use and maintenance of electrical and hydraulic systems
  • Ability to read drawings, plans, and blueprints and convey this information to others
  • Excellent organizational and leadership skills
  • Ability to communicate and report effectively
  • Aptitude in math and strong problem-solving abilities
  • Good physical condition and stamina

Project Coordinator 

Our growing company is seeking to hire a Project Coordinator who will be in charge of assisting our Project Managers in organizing our ongoing projects. This task involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

​To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. A bachelor's degree in a related field of study and at least three (3) years of relevant experience is required for consideration.

Project Coordinator Responsibilities:

  • Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
  • Organizing, attending and participating in stakeholder meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Preparing necessary presentation materials for meetings.
  • Ensuring project deadlines are met.
  • Determining project changes.
  • Providing administrative support as needed.
  • Undertaking project tasks as required.
  • Developing project strategies.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assess project risks and issues and provide solutions where applicable.
  • Ensure stakeholder views are managed towards the best solution.
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
  • Create a project management calendar for fulfilling each goal and objective.

Project Coordinator Requirements:

  • Bachelor degree in business or related field of study a plus.
  • Three years experience in related field.
  • Exceptional verbal, written and presentation skills.
  • Ability to work effectively both independently and as part of a team.
  • Experience using computers for a variety of tasks.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Knowledge file management, transcription, and other administrative procedures.
  • Ability to work on tight deadlines.

Assistant Project Manager 

We are looking for an efficient Assistant Project Manager to contribute and support the planning and execution of projects. The Assistant Project Manager's responsibilities include monitoring project progress, following up with stakeholders on the completion or delay of project phases, scheduling meetings, and maintaining project documents and reports.

To be successful as an Assistant Project Manager you should be able to perform any tasks assigned by the Project Manager in an efficient and timely manner. An outstanding Assistant Project Manager should be able to maintain oversight of all project activities, identify any issues, and ensure these are resolved promptly.

Assistant Project Manager Responsibilities:
  • Communicating with stakeholders regarding project needs and goals.
  • Contributing to the planning and development of projects.
  • Supporting the coordination and management of projects.
  • Researching information as required.
  • Performing administrative tasks, preparing invoices, estimates, scheduling meetings, etc.
  • Keeping track of and reporting on project progress.
  • Completing any tasks assigned by the Project Manager in an efficient and timely manner.

Assistant Project Manager Requirements:

  • High school diploma/GED required.
  • Degree in business management or a related field preferred.
  • Previous experience in project management or a similar role.
  • Proficiency in Microsoft Office and project management software.
  • ​Highly organized and able to multitask.
  • Strong attention to detail and problem-solving skills.
  • Excellent communication skills, both verbal and written.
